Power BI Drill-Through, Drill-Down, and Tooltips: What’s the Difference?

Table of Contents

Introduction

When creating interactive dashboards in Power BI, you needs to strategically make use of all the visual landscape. Sometimes there are more insights to share with less space available. Another thing clients appreciate is the versatility and dynamics of your reports; it does not need to be static. Power BI provides biggest advantage to the users where they can explore data more dynamically. There are features like Power BI Drill-Through, Drill-Down, and Tooltips which can be used to make reports intuitive and user friendly.

But these three terms are often confusing. Let’s break them down clearly so you can make an informed decision when to use each of these visualisation techniques.

What is Drill-Through?

Drill-Through is a feature in Power BI that helps users navigate through different report pages. It lets users move from one page to another filtered to specific value.

For this example, an exercise file is provided at the end of this blog post.

This report contains three pages. The first page is the Product Line – Review page providing a quick review and the second page Product Line – Details contains the detailed view.

To create drill through pages in the report:

  • In the page selection area, click on the Product Line – Details Page.
  • Drag the Product Line column from the Products Table to the Drill through Fields Section.

When the drill through is enabled an arrow icon appears on the top of the Product Line  Details Page. The Product Line  Details Page is filtered based on the selection i.e. mountaineering equipment.

Key Characteristics of Drill-Through:

  • Navigates to a new page.
  • Passes filters/context automatically.
  • Allows deep, focused analysis.

When to Use Drill-Through:

Use Drill-Through when you need a dedicated page to analyse a specific entity (e.g., customer, region, product).

What is Drill-Down?

Drill-Down allows you to explore data at deeper levels in the same visual by using a hierarchy. Instead of showing all data aspects at once, it allows you to start at high-level and then zoom into details in a stepwise manner.

Find the third page Sales by Country in the exercise file:

  • Add the Bar Chart from Visualization Pane.
  • In the Bar Chart, in Y-axis add Sales Revenue from Sale Table and in X-axis. From Countries table, drag Country and then drag City below it.

This creates a Country > City hierarchy.

  • In the visual, click the Drill-Down icon in the top-right
  • Now, click on Australia, the visual will now show revenue for cities within Australia.
  • Click the up arrow to return to country view.

Key Characteristics of Drill-Down:

  • It works inside one visual you cannot drill-down the entire report pages.
  • Uses hierarchical data e.g. Country > City, Years > Months, etc.
  • It has a step-by-step navigation system.

When to Use Drill-Down:

Use Drill-Down for zooming into details gradually without leaving the current chart.

What are Tooltips?

Tooltips refer to the data labels shown on the visuals other than the fields used for the visualization. The information on the tool tip is visible when the user hovers over a visual. The default tooltip shows values of the data points on the visual at the point of hover.

In the pbix file, on Product Line – Detail page hover over the area chart and a default tooltip is visible.

Notice that until now there is no field added in the tool tip and these values are automatically generated.

You can add data points to these tooltips. For example:

  • Drag and drop Quantity Sold from the Sales table to the Tooltips.

  • Hover over to the Area Chart on the canvas.

Notice the addition of Sale Price in the tooltip.

Key Characteristics of Tooltips:

  • It appears on hover.
  • There is no navigation required.
  • It can be simple or customized as per user’s requirement.
  • Enhances quick insights without using extra space on the report page.

When to Use Tooltips:
